Job Description

About the Role:

Blackbird is looking to hire an Executive Assistant to maximise the productivity and outputs of our Partners in Aotearoa, Sam Wong and Phoebe Harrop. The most precious resource is time and your mission is to ensure our time is focussed on the most impactful projects. We are looking for someone who is hyper-efficient, detail-obsessed and proactive. You will be a super organiser but also someone who lives and breathes a hospitality mindset, and an appreciation for creating an exceptional customer experience for the founders and community we serve.

Here is what success might look like in your first 6-12 months:
  • Productivity: You’re working with Sam and Phoebe to make them prioritisation and goal-tracking machines, ensuring they are always investing their time and energy on what matters most. You are familiar with, and are always thinking about different productivity approaches and the software tools or systems to implement them.
  • Relationship Management : You know who’s who in the zoo. You are helping Sam and Phoebe build and maintain wonderful relationships with other Blackbirds, their portfolio founders, and their wider networks. You're assisting in the planning of internal offsites/team building events and helping them plan trips to build networks overseas.
  • Inbox Zero: You’re helping Sam and Phoebe get to Inbox Zero every day by prioritising what’s important, what isn’t, and pre-drafting responses for review/sending as appropriate.
  • Be the right-hand person: You’re enabling Sam and Phoebe to be great people leaders, making sure they are meeting regularly with their team members and are on top of the admin side of management, from drafting meeting minutes and following up on action items to helping with expense management, budget and leave approvals.
  • Calendar control: You’re supporting Sam and Phoebe to take back control of their time but wrangling their calendars and helping them focus on what really matters.
  • Drive Blackbird’s success: You understand Sam and Phoebe’s priorities and goals, and are helping ensure they are consistently focusing their time and energy on what matters
  • Own the details: You’re doing everything from taking care of Sam and Phoebe’s travel bookings, to coordinating gifts to surprise and delight members of Blackbird’s community at key moments.
  • Office management: You own the vibe at our Auckland office, making it a place our team can show up to do their best work every day, by keeping our cupboards stocked with snacks, managing relationships with external contractors (like our wonderful cleaning staff) and organising our weekly shared lunch.

Position Requirements

Your background is less important than the key skills, which include:
  • Customer Experience. You love creating memorable moments and delighting everyone who interacts with Blackbird.
  • Communication. You have an exceptional ability to communicate effectively and professionally both by word and in person. You will be responsible for drafting internal and external comms for Sam and Phoebe, so it is key you have the ability to learn and match their tone and language.
  • Multi-tasking. You will work with two partners with differing needs. It is vital that you bring a calmness and readiness to execute multiple processes at the same time. You are a productivity nerd who loves creating systems, discovering, implementing and optimising tools to stay on top of it all.
  • We all take out the rubbish. No job is too small. Like all of us at Blackbird, you're happy to roll up your sleeves and do the task at hand.
  • Relationship building. You have a hunger to be a top tier support partner to Phoebe, Sama and the Aotearoa Blackbird team. You do this by being open, trustworthy and willing to jump in!

We’re looking for someone who is as passionate as us about building an iconic investment business. You must have a high ownership mentality and the ability to take responsibility for goals and outcomes.

This role is part time (0.75) based in Auckland, with the flexibility to work from home when needed. Our ideal working pattern is a reduced hour, 5 day week- but we are excited to be flexible for a rockstar candidate!
