About the Role

Blackbird is looking to hire an Events Coordinator to help us maintain a high level of experience at our events. We are big believers in Danny Meyer’s concept of ‘enlightened hospitality’ - so much so that it’s become one of our core Blackbird operating principles. Having hospitality at the heart of everything we do includes an obsession with creating great experiences for all our stakeholders - crafting peak moments and a feeling of community for them at each Blackbird event. 

We are looking for someone who is an execution machine, and who thrives on the energy and the chaos of multiple moving parts when organising events. Someone who can pull the bigger picture into focus with project management and creative direction, but also be deep in the weeds when it comes to the on-the-ground execution of each event. Someone who can do all of this while juggling multiple events at the same time. 

Responsibilities

The Events Coordinator will be covering a parental leave, working most closely with our Portfolio Community Manager to manage the execution of stacked calendar of events to an excellent standard and in the Blackbird style. This will include:

  • Founder and Operator Events: We believe founders are the best people to help other founders and so we’re always looking to drive founder-to-founder connections through our events. This includes setting up curated dinners and casual lunches, fun outdoor gatherings, larger gatherings with speakers, and securing tickets and creating an itinerary for events around town. Our calendar of events spans multiple cities - including internationally. 
  • Flagship founder events: We host 2 flagship events each year: an annual founder retreat and A 3-day hotel takeover around Sunrise Festiva. You will be responsible for executing all aspects of these events including runsheets, hotel bookings, transfers, dinners, activities, branding, and merchandise.
  • LP Day: Our annual LP day is a key experience for those who invest in Blackbird funds. You will be responsible for project managing an event for up to 150 investors including pre-event communications, catering, run sheets and managing staff on the day.

This role will be based in Sydney.

Position Requirements

Your background is less important than the key skills, which include:

  • Project Management: You build plans and execute against them, staying on top of multiple moving parts while always keeping things moving forward. 
  • Execution-focused, detail-oriented: An event is the sum of many parts, and you take pride in perfecting each of those little parts. You are a checklister and love the satisfaction of executing events with precision.
  • Ownership mentality: You’ll have experience owning events from ideation to packing up the venue. No job is too big or too small for you to execute. You have experience owning event budgets of all sizes and running multiple events at a time. 
  • Hustle: You know your way around a vendor negotiation and can create an impactful event on any budget.
  • Eyes up mentality: You’ll listen with all senses and customise experiences - always hearing, looking, listening to see what's going on.
